With teams and workspaces, you manage projects as an individual or in groups. Here you will learn how to create teams and structure workspaces.
1. What are teams and workspaces?
Teams enable collaboration with internal employees and external partners. You can add team members, assign roles, and create workspaces.
Workspaces are work areas where you manage projects, organize files, and provide clients with access to content.
Structure
Team → Workspaces → Folders → Projects → Collections
2. Teams: Managing collaboration
Teams allow for joint editing of projects.
Create a team: Go to the "Teams" section and click on "Create new team". Give the team a name and add members.
Assign roles: Assign roles to team members to define responsibilities. A team member with full rights to a workspace can collaborate on all shared workspaces and projects. Guests can access libraries, reviews, and workflows, but cannot share projects or create approvals.
Comment function: Use comments for project-related coordination directly on the asset.
3. Workspaces: Organizing projects
Workspaces serve as a structured project management tool.
Project overview: Create workspaces at the project or client level to maintain an overview of information and files.
File management: Upload files, organize them in folders, and link them to projects. Within a workspace, you can group projects into folders. Images and videos are organized into collections.
Integration: Connect moodcase with Adobe Lightroom, Capture One, and Dropbox.
4. Setting up teams and workspaces
Log in to your moodcase account and go to "Create teams".
Create a team and add users.
Create a new workspace.
Grant the desired permissions to the workspace members.
5. Workflow options
Coordination: Use comments for the workflow. Every comment is tagged with the sender's email address.
Structure: Assign roles and responsibilities within the team.
Central source of truth: Ensure that everyone involved has access to the current version.
6. Frequently asked questions
Can I add external members to the team?
Yes, you can invite external partners or clients and assign permissions.
How is my data protected?
Data is stored in encrypted form.
Can I manage multiple workspaces at the same time?
Yes, you can create and manage workspaces as needed.
7. Structure and permissions
The structure is organized as follows:
Team → Workspaces → Folders → Projects → Collections
At the team level, users are invited with permission levels. Workspaces can be shared with team users.
Workspaces can also be shared with clients. For one-off projects, a workspace named "Clients" with subfolders is suitable. For recurring clients, a dedicated workspace makes sense to collect all projects for that client in one place.
