Structure of moodcase

  • Personal Account: A private area for individual work, separate from teams.

  • Team: A shared area for collaboration between multiple people within an organization.

  • Workspaces: Areas within a team used to organize projects.

  • Folders: Used to categorize projects within a workspace.

  • Projects: The central workspace for visual assets and decisions.

Example setup

  • Team: Agency XY

  • Workspaces: Client Projects, Internal Projects, Marketing

  • Folders in the "Client Projects" workspace: Client A, Client B, Client C

  • Projects: Product Shoot 2025, Autumn Campaign

Personal accounts and teams

Personal accounts are intended for individuals. Only you have access to your workspaces and projects. Projects can be shared with others via a link.

Teams

Teams allow multiple people to collaborate in one place. Each member is assigned a specific role. Workspaces within the team provide the necessary overview.

Distinction

  • Personal Account: Focus on individual work.

  • Team: Focus on collaboration in shared workspaces.

Switching between teams

If you are a member of multiple teams, you can switch via the sidebar:

  1. Select the desired team in the sidebar.

  2. The active team name is displayed at the top.

  3. The view of workspaces, folders, and projects will update.

Using workspaces

Every workspace is assigned to a team. To access a workspace:

  • Select the corresponding team.

  • Click on the desired workspace.

  • The associated folders and projects will be displayed.

Organization

  • Use workspaces to separate by client, department, or topic.

  • Use folders to group related projects.

  • Create projects for specific tasks such as shoots or campaigns.

Overview of permissions

Admin

Management of team, workspaces, members, and billing.

Editor

Creation and editing of projects. No access to team settings.

Viewer

Read access to projects without editing rights.

External Client

Access to specifically shared projects without insight into internal team structures.

Managing members

  • Admins invite new members and assign roles.

  • Guests can be granted access to specific individual projects.

Frequently asked questions

  • Can I be in multiple teams? Yes. You can switch via the sidebar.

  • How do I share projects with clients? Via a project link. Recipients do not need their own account.

  • What happens when I leave a team? Access to team content is removed. Your personal account remains active.

  • Can projects be moved? Yes. Projects can be moved from a personal account to a team workspace.
