Teams and workspaces

How your account, teams, workspaces, folders and projects fit together, how to create a team, add members and switch between teams.

How moodcase is organized

  • Account: your own area. Your name is shown at the top, with "Workspaces" and your name below it.

  • Team: the shared area for working together. The team name is shown at the top with "Team Workspaces".

  • Workspace: divides a team, for example by client, department or topic.

  • Folder: groups related projects within a workspace.

  • Project: holds your assets, for example photos and videos.

For one-off jobs, a "Clients" workspace with one folder per client works well. For recurring clients, a dedicated workspace keeps all of that client's projects in one place.

Switch between your account and teams

The bar on the far left shows your profile picture for your account at the top and your teams below it. Click one to switch. To change the workspace, use the selector under Workspaces in the sidebar.

Create a team

Click + (Create Team) in the left bar. Whoever creates a team is its Owner. moodcase sets up a workspace "Mein Workspace" with the folder "Meine Projekte" so you can start right away.

The arrow next to the team name opens Team Members, Settings and Leave Team. The owner cannot leave their team, only delete it.

Add members

  1. Open Team Members and invite the person with a role: View only, Member or Admin.

  2. The team appears in the invited person's left bar. They click Accept Invitation.

  3. Add the person to a workspace: three-dot menu next to the workspace, Workspace Members, Team Members tab.

A workspace only becomes visible once you have been added to it. Until then the team shows "No Workspaces". With the Member or Admin role, the person can create a New Workspace there themselves.

Team members or collaborators?

  • Team members work with you in moodcase, for example your assistant. Depending on their role they create projects, share links and galleries.

  • Collaborators are invited to a single workspace, for example your client. They work in one or more projects but cannot share projects further or create galleries.

How many collaborators are included depends on your plan. You can buy more as an add-on.

Manage workspaces

The three-dot menu next to the workspace contains New Workspace, Edit Workspace, Delete Workspace, Workspace Members and Leave Workspace.

Move projects, folders and assets

Within a team, you can move projects and folders to other workspaces and folders.

  • Project: the project's three-dot menu, Move. Under Move to Workspace, choose the workspace and folder and click Move.

  • Folder: the folder's three-dot menu, Move.

  • Photos: select the assets in the library and click Move at the top. This also moves them to another project.
