Custom Metadata: Add Custom Fields to Your Images

Define your own metadata fields to organize, filter and license your images exactly the way your team works. Available on Custom plans.

What is Custom Metadata?

Custom Metadata lets you define your own fields for images in your account — beyond the built-in title, description and tags. Use it to capture exactly the information your team needs, in exactly the shape you need it: free text, a dropdown, multiple choice, or a simple checkbox.

Custom Metadata is available exclusively on Custom plans.

How to add a field

  1. Go to Settings → Custom Metadata

  2. Click + Add field

  3. Give it a Label and choose a Type (see below)

  4. Optionally add a Description — this shows as help text wherever the field appears

  5. Optionally set Visibility → Depends on to only show this field when another field has a specific value

  6. Click Create field

Field types

  • Text — a single line of free text

  • Textarea — multiple lines of free text

  • Single select — pick one option from a dropdown

  • Multi select — pick one or more options

  • Checkbox — a simple yes/no toggle

Examples

Some fields teams commonly set up:

Source — Single select (Photography, Stock, AI-Generated)

Indicates how this image was created — captured in-house, purchased/licensed as stock, or generated with AI. Filter your library by origin, e.g. to isolate AI-generated content before a rights or compliance review.

Image Note — Textarea

Free-text field for usage restrictions, approvals, or context that doesn't fit a fixed category. Example: "This image may only be used for Social Media. Approved until end of 2026."

Season — Single select (Spring, Summer, Autumn, Winter)

The season an image was captured in or visually represents. Quickly pull seasonally appropriate imagery when planning campaigns, e.g. filtering for "Winter" shots ahead of a holiday newsletter.

Usage Purpose — Multi select (Web, Social Media, Print)

Where an image is approved to be used — select all channels that apply. Prevents accidentally publishing a web-only image in a printed brochure, or reusing a print asset on social media.

Model Release Available — Checkbox

Check this box if a signed model release exists for any identifiable person in the image. Important for legal compliance before using an image in commercial or advertising contexts.

Conditional fields (Depends on)

Under Visibility → Depends on, you can make a field only appear based on the value of another field. There are two modes:

Has any value — the field appears as soon as the parent field is filled in at all, regardless of which option was chosen. Use this when the child field is always relevant once the parent has a value.

Is one of… — the field appears only when the parent field matches specific option(s) you choose. Use this when a field is only relevant for certain values.

Example — one Source field driving three different follow-up fields, each only relevant for one specific source:

  • Source = PhotographyPhotographer (Text): who shot the image in-house

  • Source = StockLicense Provider (Text): where the image was licensed from, e.g. Getty Images or Adobe Stock

  • Source = AI-GeneratedAI Tool (Text): which tool generated the image, e.g. Midjourney or Adobe Firefly

Each of these three fields uses Is one of… set to its matching Source value — so only the relevant follow-up field appears for each image, instead of showing all three at once.
